BOOKING POLICY

 

Onpoint Madarao' Booking Policy.

 
Here is everything you need to know, as of January, 2025.

Onpoint Madarao hotel rules.

 
  • This is a smoke-free hotel. Smoking is prohibited within the hotel and at the hotel entrance. No smoking in hotel rooms, bathrooms, toilets, lobby, restaurant, and bar area.
​
  • If you would like to bring your own wine or champagne to the hotel this is perfectly fine with advance approval from the hotel staff before your check-in date. There will be a bottle charge of ¥4,000 per bottle.
​
  • Our kitchen is not available to guests staying with us. We cannot allow guests to use our kitchen to cook their own meals. 
  • We cannot store guests' food and produce in our kitchen or refrigerators.
 
WHY? We cannot risk contamination without hotel produce.  
​
  • Please do not bring outside cooked meals (especially with strong aromas) to eat in your rooms at the hotel. ie, bento, curry, pizza, fried chicken, sushi, mabu tofu, natto maki, hot dogs, etc.
​
  • Outside-cooked meals or prepared cup noodles cannot be stored in our guest rooms.
​
  • Cooked food and bento boxes made at home are prohibited from being stored and eaten in the guest's rooms or at the hotel. 

    Why We Request No Cooked Meals in Guest Rooms.
    We want every guest to enjoy a fresh and welcoming experience when they arrive at their room. Cooked meals with strong aromas can linger in the air, affect the overall atmosphere, and risk leaving stains on the floors or carpets. At our lodge, we take great pride in maintaining a consistent standard of cleanliness and comfort for all guests. By respecting this policy, you help us ensure that the next guest enjoys the same high-quality experience you’ve come to expect. Thank you for understanding and supporting our commitment to excellence.

     
  • ​Cooked food and bento boxes that have been bought or made on the day or from take-out restaurants can be eaten within our dining area before or after our dinner service or when dinner service is not available. 

    WHY? We cannot take responsibility for old food being stored incorrectly and eaten within our premises. Cases of food poisoning can occur and it violates Japan's health and safety regulations. 

    Food cannot be eaten in our dining area from 17:30 pm and 21:00 pm on Monday, Tuesday, Friday, and  Saturday. 

    WHY? We serve our Onpoint restaurant meals during this time and it is not permitted to eat outside food during these times. We pride ourselves in creating a special dining experience that includes, smell, taste, and quality ingredients. We do not allow other foods to be eaten during our dinner service for these reasons.

    Food can be eaten in our dining area from 10:00 am to 21:00 pm on Wednesday, Thursday, and Sunday. 

    WHY? We do not operate our dinner service on these days. Please, kindly clean all of your waste into the correct bins provided. Do not leave your waste for other guests to navigate around.​​​

What can you eat in your room?

 
  • You can drink and eat snacks in your room brought from outside or from our snack shop within the hotel. These snacks should not be snacks that need any form of cooking. ie, cup noodles, packet curry, and similar.​​​​​

Liability and penalty fees for loss of Room keys, Keycards, and Damages.

The guest understands and agrees that they are liable for the full payment of all nights and applicable room taxes for my stay at Onpoint Madarao. Additionally, the guest accepts responsibility for any loss of keys or keycards issued to me, as well as any damages to the premises, furnishings, or property caused by me or my group during my stay. The guest acknowledges that any such charges may be billed to their credit card if discovered after their departure or added to their final bill upon checkout.

Loss of key(s): ¥20,000
Loss of keycard(s): ¥10,000
Room Carpet Spillage/Heavy Stains: ¥30,000
Other Damages: Item replacement fee.
Damages to the room: Determined by damage.

Check-in & Check-out times.

 
Check-in: 16:00 pm
Check-out: 10:00 am 

Early check-in or late check-out is subjected to bed/room availability on a relevant day, which can then be reconfirmed with the front office staff at guests' request.

A room not occupied by 21:00pm of the day of your check-in will be seen as 'No Show', unless prior arrangements have been made between the guest and hotel.

Shuttle Service

- 08:30 am - 09:30 am daily. 
- 16:00 pm - 17:00 pm daily.

- We shuttle our guests to the resort in the morning from 08:30 - 9:30 am and collect guests around 16:00 pm to 17:00 pm daily.

- We do not offer a shuttle service to and from the hotel to the Shinkansen station but we do offer a collection service from the bus drop-off point.

- The easiest way to reach our hotel from the Shinkansen station is by taxi directly to the door of our hotel. We can help arrange this for you in advance before your arrival.

- Guests traveling by private vehicle are kindly asked to make their own way to the ski resort to help support the resort and allow for snow removal around the hotel property effectively. The transit to and from the hotel to the resort is 3 minutes by car (one-way) and 20 minutes by foot.

** We do not offer a shuttle service after 17:00 pm to the town for evening activities.

WHY? Onpoint is a small operation consisting of 3-4 staff members. After the morning shuttle service has finished our staff will be running errands, prepping the hotel, clearing snow, replenishing stocks, and enjoying the Madarao slopes. That is of course why Onpoint exists after all. 

Private vehicle owners are asked to make their own way to the ski resorts daily so that we can safely and efficiently clear the heavy snowfall on a daily basis so that you can return and park your cars at Onpoint without concern. Failure to remove the cars from the carpark may result in heavy build-up and limited access to the hotel. 
 

Onpoint Capacity

We have a Maximum capacity of 14 guests (Aged 10+) negotiable to 17 with additional children (Aged 0-9).

At Onpoint, guest safety and comfort are our highest priorities. Our policies strictly adhere to Japanese hotel licensing requirements, as well as local health, fire, and safety regulations.

Maximum Occupancy

Our maximum capacity is 14 guests aged 10 and above, with the possibility of accommodating up to 17 guests if additional children (aged 0-9) are included in the booking.

This capacity ensures all guests have a comfortable experience and that our building remains compliant with Japanese hotel licensing standards and fire safety regulations based on the size and layout of our premises.

Guest-Only Policy

The facilities and spaces at Onpoint are exclusively for the use of our registered, staying guests. Outside visitors are not permitted to freely visit, dine, or utilize the hotel’s amenities, including common areas. This restriction is enforced to ensure compliance with maximum occupancy regulations and to maintain the safety and comfort of all guests.

Important Note:
If the total number of individuals present exceeds our licensed capacity, we will not be able to accommodate additional guests, even temporarily. This policy is strictly non-negotiable and enforced in line with fire and safety requirements.

Children Policy:
At Onpoint Madarao, we strive to provide a relaxing and enjoyable environment for all our guests. To ensure this, we kindly request parents and guardians adhere to the following guidelines regarding children: 
 
Behavior and Supervision:
  • Children are expected to maintain a reasonable level of noise and behavior to respect the comfort of other guests. Parents or guardians are responsible for ensuring their children remain under control at all times to allow everyone to enjoy the tranquility of Onpoint, especially after a long day on the slopes.

Supervision:
  • Children must not be left unattended on the premises under any circumstances. Onpoint Madarao does not provide childcare services or childminding staff, and as such, we cannot accept responsibility for the welfare or safety of unsupervised children.

By booking with Onpoint Madarao, parents and guardians agree to take full responsibility for the supervision and behavior of their children throughout their stay. Failure to comply with these policies may result in intervention by management to ensure the comfort and safety of all guests.

Booking Confirmation and Agreement

​

By making a reservation at Onpoint, you confirm your understanding and acceptance of the following:
 

  • The maximum occupancy limits are non-flexible and must be strictly observed.

  • Outside guests are not permitted to visit or utilize the hotel space at any time.

  • The booking is for registered, staying guests only.

​

We have a minimum of a 5-night stay booking policy for the winter season of 2024/25 and onwards.​

 

Deposit and Payment Terms for Regular 5-Night Reservations

​

Effective January 2025, the following terms and conditions apply to all reservations made at Onpoint Madarao:

​

1. Deposit Payment

To secure a room reservation, a 30% deposit of the total booking fee is required at the time of booking.

Payment must be made via SQUARE secure digital payment to confirm the reservation.

​

The deposit is strictly non-refundable and non-flexible, regardless of the reason for cancellation or modification.

​

2. Final Payment

The remaining 70% of the booking fee must be paid in full 28 days prior to your scheduled arrival date at Onpoint Madarao.

​

Failure to pay the remaining balance within this time frame will result in the cancellation of your reservation, and the deposit will not be refunded.

​

3. Existing Reservations (Made Before January 2025)

For reservations made prior to January 2025, the 20% deposit policy remains applicable.

These reservations will not be subject to the updated 30% deposit requirement.

​

 

Deposit and Payment Terms for Private Hotel 5-Night Reservations

​

Effective January 2025, the following terms and conditions apply to all reservations made at Onpoint Madarao:

​

1. Deposit Payment

To secure a room reservation, a 50% deposit of the total booking fee is required at the time of booking.

Payment must be made via SQUARE secure digital payment to confirm the reservation.

​

The deposit is strictly non-refundable and non-flexible, regardless of the reason for cancellation or modification.

​

2. Final Payment

The remaining 50% of the booking fee must be paid in full 28 days prior to your scheduled arrival date at Onpoint Madarao.

​

Failure to pay the remaining balance within this time frame will result in the cancellation of your reservation, and the deposit will not be refunded.

​

3. Existing Reservations (Made Before January 2025)

For reservations made prior to January 2025, the 20% deposit policy remains applicable.

These reservations will not be subject to the updated 50% deposit requirement.

 


An 80% deposit of the total booking fee is also available to secure your booking with us at Onpoint Madarao, also payable by SQUARE secure digital payment. The deposit is non-refundable for winter season bookings, but flexible so that you can reschedule your stay with us in the event that you cannot make your check-in date. ** Please inquire if you would like to opt in for this option.

 

**The rescheduling is subject to room availability and will require advance notice of 7 days prior to the check-in date. If you wish to move your reservation/booking to a future date, the outstanding due balance of the remaining 20% should be paid in advance to secure your new reservation dates. The rescheduling is only based on availability for the current season and if there is no availability we will not be able to accommodate your reservation.   

​

  • All winter season deposits are non-refundable.

  • In the event of a no-show or late cancellation, the full amount of the reservation will be charged. Failure to pay will result in legal action. 

  • During the green season, the 20% deposit is refundable if canceled 30-days prior to your check-in date. A cancellation after the 30-day limit will not be refundable.

  • If your reservation is made within 30-days of your check-in date a refund will not be possible.

  • A 40% deposit for 'Green season' is non-refundable after our 30-day cancellation period, but flexible within 7-day's notice prior to the check-in date. Your booking can be moved to another date subject to room availability.

  • An 80% deposit for 'Winter season' is non-refundable, but flexible within 7 days notice prior to the check-in date. Your booking may be moved to another date subject to room availability.

  • A 'No-show' on the date of check-in will also not be refundable and will result in full payment of your reservation charged to your card. Failure to pay will result in legal action.


Legal Compliance.

These policies are mandatory to comply with Japanese regulations for hotels and ryokans, including health, fire, and safety laws. Violations of these policies may result in immediate termination of your stay without a refund, as well as potential legal penalties under local laws.

We greatly appreciate your cooperation and understanding in adhering to these rules, which are designed to ensure a safe, enjoyable experience for all.
